Algonquin Area Public Library District Board of Trustees met Jan. 22.

Here is the minutes provided by the board:

The Board of Trustees of the Algonquin Area Public Library District met on Wednesday, January 22, 2020 at the Harnish Library.

All packets were distributed on Friday, January 17, 2020 and an agenda was posted in both libraries forty- eight hours prior to the meeting.

The meeting was called to order at 7:02 p.m. by President McGuire.

Those answering roll call were Trustees Athmalingam, McGuire, Pelke, Schaaf, and Smith. Also present were Executive Director Murray, Assistant Director Dolin, and Department Managers Chiappone, Christopherson, Husak, McCallum, and Marketing Coordinator de Lima. Trustees Mejia was absent. Trustee Medrano-Sanchez arrived at 7:06pm.

AUDIENCE TO VISITORS

There were no visitors

CONSENT AGENDA

A motion to approve the consent agenda containing the December 4, 2019 Board of Trustees Meeting Minutes and the November 2019 and December 2019 Financial Statements was made by Vice President Schaaf and seconded by Trustee Pelke.

Ayes: Athmalingam, McGuire, Pelke, Schaaf, and Smith

Nays: None

Absent: Medrano-Sanchez and Mejia

Abstain: None

APPROVAL OF DISBURSEMENTS

A motion to approve the November 2019, December 2019, and the January 2020 Disbursements was made by Vice President Schaaf and seconded by Trustee Pelke. Motion passed with a roll call vote. 5/0

Ayes: Athmalingam, McGuire, Pelke, Schaaf, and Smith

Nays: None

Absent: Medrano-Sanchez and Mejia

Abstain: None

Trustee Sanchez arrived at 7:06pm.

APPROVAL OF EMPLOYEE TRAVEL EXPENDITURES

Executive Director Murray explained the lodging expenses and the varying rates.

A motion to approve lodging expenditures for Librarian Eberle for her attendance at ALA Midwinter Conference at $199 per night was made by Vice President Schaaf and seconded by Trustee Pelke. The motion passed with a roll call vote. 6/0

Ayes: Athmalingam, McGuire, Medrano-Sanchez, Pelke, Schaaf, and Smith

Nays: None

Absent: Mejia

Abstain: None

REPORT FROM FACILITIES COMMITTEE

Vice President Schaaf stated that the Facilities Committee met on January 14, 2020. They toured the facility and discussed the contract and project costs of the amendment from Shales McNutt for the Upper and Lower Level Public Multi-person Restrooms at the Harnish Main Library. The committee recommended approval of the amendment which is being presented to the Board for their approval.

APPROVAL OF SHALES McNUTT CONTRACT ADDENDUM

A motion to approve the Shales McNutt Contract Addendum was made by Trustee Pelke and seconded by the Facilities Committee. Motion passed by roll call vote. 6/0

APPROVAL OF MEMORANDUM OF UNDERSTANDING WITH COMMUNITY SCHOOL DISTRICT 300

A motion to approve the Memorandum of Understanding with Community School District 300 for Community Share was made by Trustee Pelke and seconded by Trustee Athmalingam.

Ayes: Athmalingam, McGuire, Medrano-Sanchez, Pelke, Schaaf, and Smith

Nays: None

Absent: Mejia

Abstain: None

APPROVAL OF POLICIES

A motion to approve amendments to Policies PM510 Employee Conduct and Work Rules, PM602 Workplace Protection, PM605 Drug Use1050 was made by Vice President Schaaf and seconded by Treasurer Pelke. The motion passed by voice vote. 5/0

Ayes: Athmalingam, McGuire, Pelke, Schaaf, and Smith

Nays: None

Absent: Mejia

Abstain: Medrano-Sanchez

STAFF REPORTS

There was some discussion

The Library held a Longevity and Staff recognition event on December 13, 2019. Following the recognition Miguel Figueroa, head of ALA Center for the Future of Libraries gave a presentation on Library Service Trends and how libraries are responding. The ILA Legislative Breakfast is on Monday, February 17, 2020. Please let Executive Director Murray if you would like to attend. A team of eight stakeholders will be working with PinPoint to get the project off the ground the beginning of February. Executive Director Murray and Marketing Coordinator de Lima attended the Chamber Awards The Library will be working with an intern from the Village of Algonquin to coordinate the message of the importance of the 2020 Census. The Library will be an early voting site for the March 2020 election. On April 18, 2020 the Board and Managers will meet to discuss the Strategic Plan.

The Public Restroom Renovation Project Bid Opening is scheduled for February 12, 2020 at 2:00 pm.

TRUSTEE REPORTS

Vice President Schaaf commended Librarian Cajacob in advance for her work on the 2600 Club Murder Mystery event being held at the Harnish library on February 22, 2020. He also thanked the staff for their attendance at the Friends meeting.

President McGuire is looking forward to meeting from 9:00 am through 1:00 pm on April 18, 2020 for a Board retreat. She reiterated the importance of sharing ideas as an opportunity to make a difference for the Library and its community.
