City of Harvard Events Committee met Sept. 8.

Here is the minutes provided by the committee:

The meeting was called to order at 5:05 pm. In attendance were Laura Evers, Alderman Raul Meza, Scott Logan and Lori Moller. Also present was Mayor Kelly.

None

BYLAWS ARTICLE 5: SUB-COMMITTEES, SECTION 2, MEMBERSHIP REQUIREMENTS

The subcommittee was asked to review the By-Laws to discuss membership requirements. After discussion, the consensus was to add the following to the Bylaws, Section 2, Committee Members.

1. Prior to appointment by the City Council, there would be a two-step vetting process to scrutinize prospective candidates. The first interview would be conducted by the Executive Committee, who would submit a majority recommendation to Mayor Kelly who would then set up a follow-up interview. Successful candidates could be appointed at the following City Council Meeting.

2. Voting members are expected to attend monthly and other meetings with constructive participation.

3. Voting committee members are expected to chair subcommittees.

4. A one page document could be created to give to potential candidates outlining membership requirements and responsibilities.

Scott will update the By-Laws to incorporate the subcommittee’s discussion to be presented to the full Events Committee at the next meeting.

Section 5.05, Events Committee, of the Municipal Code Book grants the Mayor the authority to remove members if that would become necessary. Mayor Kelly indicated he would like a majority vote from the Committee to recommend removal of a member after which he would make a decision.

The subcommittee also discussed volunteers in general for all Committee events.

• Scott suggested creating a Standing Committee or Chairman that would maintain a volunteer database and send out an email after our meetings.

• Mayor Kelly noted that every organization he has been involved with struggles with having enough volunteers.

He recommended looking for ways to engage/partner with other not-for-profit organizations to align with the Events Committee to create some type of volunteer consortium whereby all local not-for-profits could be part of an e-mail chain. Could be promoted via the We Are Harvard Facebook group.

The meeting was adjourned at 5:55 pm.
