Harvard Community Unit School District 50 Finance Committee met July 19.

Here is the minutes provided by the Committee:

Present: Richard D. Crosby, Sandra Theriault, Julie Lehmann, Sharon McMillan, Kristina Duber, Mindy Shafer, Hugo Roldan, Mary Taylor, Darla Ferris, Carl Hobbs, Corey Tafoya,

● The minutes from the April 19, 2017 meeting and the amended minutes from the December 19, 2016 meeting were approved 

● Carl Hobbs and Dr. Corey Tafoya discussed the inconsistent information that is being given to parents regarding the payment of athletic fees. Some students pay in full, some are on a payment plan and some haven’t paid a fee. 

● Carl informed the committee of the 8-18 system and that when it is used correctly and to its full potential that it is a very good system to be using. Currently the 8-18 payment option has been turned off and all payments are currently being collected by the Athletic Office. 

● Carl’s recommendation to the committee was that the best practice would be that all athletic fees be paid in full before participation in that activity is allowed. This way the same message is being given to all participants. This would be effective starting with the Winter sports and going forward. The committee agreed to move forward with this process. 

● He also recommended that no coaches be responsible for receiving payments for athletic fees. All transactions should go through the Athletic Department and that the 8-18 system be utilized to the fullest capacity. 

● The question of students who are Direct Certified came up with regards to their fees. Dr. Tafoya, Carl, Mary Taylor and Darla Ferris are going to meet to discuss options for these students. The results of this meeting will be brought to the committee at the scheduled Finance meeting on August 9 th at 5:00 p.m. 

● The following are action items to be discussed at the next meeting. 

o Matt Rife needs to provide the committee with an evaluation process that is going to be used starting this year for all coaches 

o Matt Rife is to have the sorted survey results for the Jr. High and High School sorted by gender 

o Matt Rife to provide the committee with the rosters (including name and address) from all of the feeder groups utilizing our facilities 

o Mary Taylor is to provide what percentage of the budget is being utilized for athletics 

o Mary Taylor is to provide how many Direct Certified students there are at the Jr. High and the High School that are involved in athletics

● Next meeting date: August 9, 2017 5:00 p.m.
